5. Why we use it, and our lawful basis
-
Identifying, contacting and assessing candidates for roles: legitimate interests, being the operation of a recruitment business and matching people to opportunities.
-
Submitting candidate details to clients: legitimate interests, with your agreement to the submission.
-
Providing recruitment and consulting services to clients: contract, or legitimate interests where you are a contact at a client organisation.
-
Engaging and paying contractors we place: contract, and legal obligation for tax and payroll records.
-
Right to work, identity and background checks: legal obligation, and legitimate interests in meeting client requirements.
-
Keeping you informed about relevant opportunities or services: legitimate interests, or consent where required.
-
Maintaining our records, accounts and systems: legal obligation, and legitimate interests in running the business.
-
Responding to enquiries and complaints: legitimate interests.
-
Website analytics and improvement: consent, through your cookie choices.
Where we rely on legitimate interests, we have considered whether the processing could harm you, whether you would expect it, and whether the same result could reasonably be achieved another way. You can object to processing based on legitimate interests: see section 9.
Where we rely on consent, you can withdraw it at any time by contacting us. Withdrawing consent does not affect processing carried out before you withdrew it.
6. Special category and criminal offence information
Special category information includes health, racial or ethnic origin, religious or philosophical beliefs, trade union membership, sex life and sexual orientation, and genetic and biometric data.
We only process it where we have both a lawful basis and an additional condition, for example:
-
to make reasonable adjustments to a recruitment or assessment process, or to support you during a placement
-
for equal opportunities monitoring, where you have chosen to provide the information
-
where a client role or regulatory requirement makes it necessary, and the law permits it
We process criminal offence information only where a role requires vetting or screening, and where the law permits it. Results are assessed by a Managing Partner and handled confidentially.
7. Who we share it with

-
a purchaser or prospective purchaser of all or part of our business, subject to confidentiality
We require service providers acting on our behalf to process personal information only on our instructions and under a written data processing agreement. We do not sell your personal information.
8. International transfers
Some of our systems and providers are located outside the UK and the European Economic Area. Where we transfer personal information outside the UK or the EEA, we rely on one of the following safeguards:
-
an adequacy decision by the UK government or the European Commission
-
standard contractual clauses approved by the European Commission, or the UK International Data Transfer Agreement or Addendum
-
another safeguard permitted by law
You can ask us for details of the safeguard used for a particular transfer.

restrict our processing of your information in certain circumstances
-

-
data portability, to receive certain information in a machine readable format
-
not be subject to a decision based solely on automated processing that has a legal or similarly significant effect on you
To exercise any of these rights, contact us at hello@intervalgroup.com. We will respond within one month, and will tell you if we need longer because the request is complex. We may need to verify your identity first, to protect your information.
We do not make decisions about candidates by automated means alone. Our systems may rank or filter candidate records to help us identify suitable people, but a person always makes the decision.
10. How long we keep it
We keep personal information only as long as necessary for the purposes set out in this notice, and in line with our retention schedule.
We keep candidate records for 2 years from our last meaningful contact with you, unless you are placed, in which case we keep records of the placement for 7 years after it ends. Right to work evidence is kept for 2 years after the engagement ends, and applications to work at Interval are kept for 12 months from the decision. Other records, including client and supplier contracts and financial records, are kept for up to 7 years.
We may keep information longer where the law requires it, or where it is needed for an ongoing claim, investigation or legal hold. At the end of the retention period, information is deleted or anonymised.
11. Security
We hold personal information in approved systems with access restricted to those who need it. We use encryption in transit, multi-factor authentication on our accounts, and device and access controls. We have a process for identifying, reporting and investigating suspected personal data breaches, and we will notify you and the relevant authority where the law requires it.
12. Cookies
